Initiated by the Swiss State Secretariat for Education and Research
(SER) as a public-private venture, and managed in cooperation with
the Swiss Department of Foreign Affairs, swissnex is an annex of the
Consulate General of Switzerland in San Francisco. Vital financial
support is provided by public and private sponsors sharing swissnex'
commitment to connecting the dots.

Our building is downtown San Francisco, half a block from the
Transamerica Pyramid, about 5 min. walk from the nearest BART
station, and 10 min. walk from the Embarcadero Ferry Terminal. In
our building we currently host 6 different teams (about 20
workspaces), 60-80 events and 5-6'000 visitors per year.

BUILDING & OFFICE MANAGEMENT / ADMINISTRATION

Tasks :
- Building Management
Make sure the building is in optimal shape at all times : welcoming
and efficient for users, ready to be shown to visitors, prepared and
organized to accommodate a huge diversity of sometimes unforeseen
actions/events
- Office Management
Make sure the office equipment shared by all teams, as well as the
swissnex core team offices are in optimal shape at all times. This
includes the need to be prepared and organized to accommodate a huge
diversity of sometimes unforeseen actions/events
- Event Logistics
Management of logistics before and after an event as well as staffing
of registration / welcome desk for some of the events
- Safety and Security Management
San Francisco being in an earth-quake zone a high-level, regular
attention has to be given to the emergency preparedness of the
building and hosted workers. swissnex being an annex of a foreign
consulate, specific security issues have to be managed. All this
considering a possibly large number of visitors / event participants
in the buidling
- Documentation Management
Ensure visitors and interested parties always have at their disposal
a thoroughly selected, updated, and complete documentation on Swiss
education & research institutions, as well as on important swissnex
partners & sponsors. Ensure swissnex always has an adequate, diverse
stock of gifts and give-aways to thank speakers, helpers, special
guests & participants
- Administration & Secretariat

Skills :
- interpersonal skills, dynamic personality, teamplayer
- organizational ability with a conscientious attention to customer/
user satisfaction
- ability to identify priorities and execute with sense of urgency,
to work under pressure in multi-tasking mode
- understanding of a start-up environment in an international culture
- BA / BS preferred
- excellent English a must
- knowledge of German and/or French a trump
- at least 2 years of working experience in a similar position in San
Francisco / the Bay Area with an extensive network of useful contacts

- working experience in/with Switzerland a plus
- general computer literacy and facility, in particular with Mac

PROGRAMMING & DEVELOPMENT

Tasks :
- Events
Organize or co-organize public or non-public events, conferences,
roundtables, discussions, symposia, exhibits, at swissnex or in other
locations. Organization includes everything from understanding needs
of partners & public to planning the catering, from scouting the
field for appropriate speakers to coordinating the public outreach,
from being host (and often moderator) to logistics and follow-up.
Main organizer is head of event/project, and distributes tasks within
swissnex
- Delegations
Program visits of delegations, which includes understanding needs of
visitors, scouting the field for appropriate places to visit and
people to meet, organizing the logistics (not only visits, but often
also travel arrangements, lodging, meals, transportation, leasure
time, etc.), guiding the group, and assuring the appropriate follow-up
- Individual requests
Manage individual requests, which requires empathy, curiosity and
openess, often acquisition of new competences, ability to prioritize,
sense for good „customer service“, and good documentation of service
rendered for future needs
- Knowledge Management & Outreach
Prospect and evaluate new ideas, results, trends, methodologies,
practices, techniques, tools, etc. Built and manage relationships in
a wide variety of fields, activities and organizations, in North
America, Switzerland and possibly elsewhere. Represent and promote
swissnex and its activities / services

Skills :

HEAD, US AND PACIFIC RIM OUTREACH ETH ZURICH

The individual is responsible for building and implementing a high-
impact communications and outreach strategy to increase the
visibility of the ETH Zurich in North America and the Pacific Rim.
Reporting to the Vice President Planning and Logistics, s/he advises
ETH senior officers on a broad range of internal and external
communications issues, plans and implements a variety of high profile
public events for visiting faculty, cultivates relationships with
regional universities and develops the growing network of ETH alumni
and friends. Internally, s/he works closely with academic departments
and administrative units -- media relations, student recruitment,
development and alumni relations -- to support and ensure a
coordinated approach to outreach.

This position provides a spectrum of challenges to a "hands-on"
experienced networker and marketer. The individual will strategize,
plan and implement activities for a variety of scientific topics, and
work with the media to ensure public visibility.

Strong candidates will have significant high-level communications
experience and a demonstrated record of creative, strategic
leadership. An advanced degree is preferred, preferably in the
sciences/engineering. Knowledge of German is helpful, but not necessary.
